Planning an Autumn Conference in Birmingham? Your Venue Checklist

Summer’s winding down, and if your organisation is anything like the ones we host, that means one thing: it’s time to lock in your autumn events calendar. September through November is consistently the busiest stretch for conferences, training days, and AGMs in Birmingham, which means the best conference venues get booked up quickly.

Before you commit to a space, it’s worth working through a proper checklist. Here’s what we’d suggest thinking about — based on what our own clients ask us most often.

1. Get the Room Size Right First

The single biggest planning mistake we see is booking on gut feel rather than actual delegate numbers. Too large a room and your event feels flat and echoey. Too small, and people are uncomfortable before the first session even starts.

At The Priory Rooms, our nine meeting spaces range from intimate boardrooms through to our Main Meeting House, which holds up to 210 delegates theatre-style. Before you book anywhere, get a firm headcount (or a realistic upper estimate) and ask the venue directly what layout options suit that number — theatre, boardroom, cabaret, and classroom style all eat up very different amounts of space.

2. Check What’s Included in the Package

Day delegate rates can look similar on paper but vary a lot in what’s actually included. When comparing venues, ask specifically about:

  • Room hire hours (is it a fixed session or full day?)
  • AV equipment and technical support
  • Catering — and whether dietary requirements are handled as standard, not an add-on
  • Wi-Fi and any hybrid/streaming capability
  • Late finishes, if your agenda runs into the evening

3. Think About Sustainability Early, Not as an Afterthought

More organisations are being asked by their own boards, funders, or clients to demonstrate sustainable event practices — and venue choice is one of the easiest ways to do that. Look for venues that can speak specifically to their environmental credentials, not just a general claim of being “green.”

If sustainability reporting matters to your organisation, ask any shortlisted venue for specifics you can actually put in a report.

4. Confirm Accessibility Before You Book, Not After

Every delegate should be able to attend comfortably and take part fully. Rather than assuming, ask your venue directly about step-free access, accessible facilities, and how they handle specific requirements. A good venue will be glad to talk this through with you in advance and, ideally, arrange a pre-visit if you’d find that helpful.

5. Factor in Location and Transport Links

For a multi-organisation conference or a training day drawing attendees from across the region, location does a lot of the work for you. A city-centre venue within easy walking distance of major stations removes a whole layer of logistical stress — no shuttle buses, no complicated directions, no delegates arriving late and flustered.

6. Ask About the Atmosphere, Not Just the Specs

This one’s easy to overlook, but it matters more than people expect. A conference room can tick every logistical box and still feel sterile. Delegates concentrate better, network more freely, and generally get more out of a day when the environment itself feels considered — natural light, a break-out space, somewhere quiet to step outside for five minutes.
